SWAG 1 Activity #2: Bookkeeping — State/Province Analysis

Explain to the client, “The library must file a report with a granting agency every year that shows the breakdown of fines by each state or province.”

Provide the client with side 1 of any card, Form C, and a ten-key calculator. Explain Form C to the client in simple terms, such as, “This is the form that we used to record information for each book or video in terms of the state or province in which the patron lives. How many overdue accounts do we have from each state or province?”

There are two different basic strategies to solve this series of problems, sorting the cards by either the state or province or by the title. It is much easier to sort the cards by title before the cards are arranged within each title by state or province. Determine whether or not your client needs this piece of information and provide it if necessary. People who have more clerical experience will probably realize that this is the superior strategy. It does not necessarily indicate a cognitive problem if the client does not identify and follow the strategy; it be a matter of prior work experience informing the client solution to the current problem. Have the client use Form D to correct the responses. This task can be done on a “paper and pencil” basis or on the computer, using the provided Excel spreadsheets.
